Donna: Nescot College is one of the largest and most successful colleges in Surrey. We’ve been here 60 years actually so, we’ve been around a long time. We have over 9,000 students and 600 staff which makes it very busy for us as the Human Resources Department within Nescot. And we have a range of vocational and academic courses in further and higher education. The funding in further education has continued to be cut and around six years ago in particular, we were having to make a lot of cutbacks. And we had some stuff that left in the HR Department just from natural wastage. And we weren’t able to recruit. Then our team you know really couldn’t survive with all the work that we had to do. We have to deal with over 120 vacancies a year. So we looked to CIPHR really to give us more support and more options in terms of the products it could offer us. 

Frances: Before we moved to the hosted environment, the Sass environment, we had one person who was dedicated to helping us with CIPHR which was fine but obviously when that team was decreased in size, we didn’t have that support. Move to the hosted environment was fantastic because I was able to speak to the service team directly with any issue that I had. And they were very responsive and no matter how sort of silly they were, or they seemed. 

Donna: One of the first products that we used was Notifications because we felt this would save us the most time. Notifications basically enables automated emails to be sent out to managers and staff and it acts as a reminder to our staff and managers. These were all the reminders that we were having to do ourselves. So this saved us huge chunks of time and it meant that we could then focus on other things. 

Frances: Notifications is great because it’s enable the HR team to send out automated notifications to managers and to staff prompting them to take action in either recording sickness or recording absence or for managers to take reviews with their staff without us having to actually sort of, you know, be proactive in the department and chase them manually. 

Donna: Another really good product…was new to us was CIPHR iRecruit. This was an online recruitment solution and it’s again saved us so much time doing everything online. It also meant that it dovetailed very well with the fact that we are using more online recruitment. We can put jobs on now on to our website in minutes. It reduces so much paperwork. So the managers have been really thrilled with how quickly we can put jobs out and are able to respond a lot quicker to any vacancies. When we take new staff on in that period between when we make an offer and when they start with us, we are able to get and choose our onboarding sites. This is used as an induction site for all our new staff. It means they can get to know Nescot before they start, get to know our policies and procedures so when they do actually start it’s much quicker for them to get to grips of their new role. 

Frances: On the onboardings we have lots of information about the college. And I think it encourages the new member of staff to have a look and see, you know, what Nescot’s about and what the benefits are for staff and everything that we offer, so that they want to actually join, they’re looking forward to joining. And once they actually start at Nescot, it’s just a smooth transition on to the self-service system. And I think it makes them feel a part of Nescot before they’ve actually even joined. 

Self service has been fantastic as well because staff like to take control of their own holidays and see what holidays they have left and be able to add on any sort of time accrued. It also enables HR to manage starters and leavers by making sure that their entitlements are correct and that everybody has all the holiday and everything they’re entitled to. 

Donna: CIPHR I found has been a great product in order to save time, save money, and also provide a very responsive service. 

Frances: They’re very friendly. They do respond to our need or to my need especially if I have a problem. I’ve always found them very approachable and yet very nice to deal with.
