Ruth: Quadriga is a leading international provider of guest technology managed services. Prior to CIPHR, we didn’t have a payroll system as such. It was a series of spreadsheets, manual checklists, Excel documents, Word, email, notes, and messages. So there was lots of opportunity there to improve, reduce error, reduce time, and have an overall better payroll experience for our employees. We changed systems to make sure we had one seamless integrated provider that reduced errors, reduced our administration costs, and ensured that we could also have an online self-service system. 

Sandrine: The thing that I particularly loved about CIPHR was its configurability, so you could really configure it to really whatever you needed and whatever you wanted. And normally HR systems are quite set in stone. 

Ruth: I can’t remember how many errors we made before, but I can certainly say, on the system we have now, it is very, very rare that we have any kind of manual human error. Our clients, our customers, our employees, and our managers know they’re gonna get paid correctly, and on time, and everything included. 

Sandrine: The main part of CIPHR that I find particularly useful is the core system, so for updating salaries, job titles, just general core HR information. We also use it for absence management and annual leave, which are also feeds into the self-service system. We also rely heavily on notifications that come through to us for probation reviews, or for job title changes and things like that. So it’s very, very useful. 

Employees at Quadriga absolutely love the self-service system, whereas before they would just send emails through to the HR department and feel that the email just got lost somewhere. They know that their record is updated because they can access it every single day, so it’s very, very useful, and we had very good feedback. 

The benefit of having a pay link through to PBS is just the confidence of the information that you’re sending over to them. When you’re dealing with people’s pay and you’re an HR department that is probably the one thing…one of the things that they would judge you on, whether you’ve got their pay right. And sometimes it’s the only point of contact that they have with HR. 

Having the Service Pack has been brilliant, because we have had new starters that have come in and out of the business, and we always know that there will be a course available to them, or courses that will fit to their specific needs. Some people come in and are very good in using the report writing course, some people not so much. So you can tailor the different courses that are available to the different skill sets within the department. 

Ruth: The helpdesk is super. They are there for us with the simplest of queries through to the most difficult. The after-service is excellent. 

Sandrine: The level of support that you get from the Service Desk is brilliant, and you never feel that you are alone. 

Ruth: Since we’ve introduced CIPHR, which is two years now, the profile of HR has increased. Usability and accessibility of the system, from the CEO through to all of our functions, including field engineers. They love the self-service online tool. It makes holiday booking easy. They get instant notifications back from their managers that it’s okay to go ahead, which is fantastic. It’s also helped us raise our profile of HR because they can see that HR and Payroll isn’t just administration function. It can provide great information. It’s easy to use, and we’ve even started this year using the annual performance review tool. 

I would say the investment far outweighs any costs that are associated. You might not even be thinking that you want to reduce headcount, but you might be thinking you’ve got time, with people doing tasks, administrative. But this frees up your Payroll and HR resource by having a slick, integrated, self-service linked Payroll and HR system. I couldn’t recommend it highly enough.
