OUR HR SYSTEM IMPLEMENTATION EXPERTS
We'll help you hit the ground running
We know that the process of implementing a new HR system or new payroll software can be daunting. You’ll not only need to import all your employee data into your new system from your old one, but also train yourself – and your employees – on the new software, too.
And that’s all on top of doing your day job, too. It’s a lot!
That’s why our expert implementation team is here to help you. Unlike plug-and-play vendors, we don’t just turn on your new HR system and leave you to figure out the rest.
With Ciphr, you’ll be supported by a specialist project manager and implementation consultant through every stage of your project. Together, our experts have nearly 200 years of experience working in HR and payroll. They know what good HR and payroll processes look like. And how to implement your new Ciphr system so you meet your project’s objectives, and successfully amplify the impact of your people team.

Tried-and-tested HR system implementation process
Go live in as little as 12 weeks
You might think that configurable HR systems take longer to implement than plug-and-play software. But because we know our HR software inside and out, we can quickly identify ways that you can improve your processes using our software. And we can highlight ways to use our systems’ functionality that you might not have thought of – such as using our case management tool to manage benefits requests.
Together, this amplifies your new software’s potential to make a real impact to your people and processes.
Plus, our implementation consultants and project managers have dedicated time to spend on your project. There’s no business-as-usual (BAU) for them to juggle: their focus is on delivering your project successfully.
In fact, thanks to our tried-and-tested five-stage process, we can get you live with HR self-service in as little as 12 weeks.
Our five-step implementation process
1. Initiate
We hold a kick-off meeting and produce your project plan. Your base system is deployed, and you sign off your project plan.
2. Discover
We run discovery sessions with you. We'll also produce a functional requirements document (FRD), which you'll review and sign off.
3. Realise
Now, it's time for you to learn how to use your new system. On-demand tutorials and learning journeys in our training portal, the Academy, will help you do that. We'll hold consultancy, data and configuration workshops. Your data will be imported, and your system will be signed off for UAT.
4. Validate
Now it's time to get stuck into testing your system. We'll give you UAT scripts, which you'll use to complete the user acceptance testing (UAT). Your data will be validated, and the UAT signed off. We're nearly ready to launch!
5. Deploy
It's time for launch! We'll help you with the final preparations for go live, and hand you over to our customer experience team. We'll review this phase of the implementation journey with you, and sign off the system.
"Our consultant also helped us with data collection and migration, which was quite an overwhelming task. He was really patient with us and kept making sure we understood what needed to happen and how the system could work.
"Our project manager was fantastic too. She gave us great recommendations about taking a phased approach to implementation."
