Ciphr AI HR assistant

AI HR software with the full picture

One connected system. One honest answer

For HR and payroll teams who want answers, not another system to manage.

Most AI HR assistant software gets bolted onto data that's already scattered. Ask it something and it guesses, or it hands you a partial answer and hopes you don't check. Our vision is for Ciphr AI to sit on top of one connected suite: HR, payroll, recruitment, learning and benefits, all in the same place. So when you ask a question, it gives you the whole picture. Not part of it.

Ask real questions, get real answers

Ask who's off this week, what training gaps sit in your finance team, or whether a leave request breaks anyone's contracted hours. Ciphr’s AI assistant reads your live HR data and answers in plain language, through the Ask button, whether you're on desktop or mobile.

It isn't guessing. It only shows what your role already permits, because it runs on your existing permission model rather than a separate one bolted on top. And it stays inside your Ciphr environment: no exporting data to a third-party tool to get an answer.

What that looks like in everyday work:

  • A manager checks who's working before booking a client call, instead of messaging three people to find out
  • An employee gets a straight answer on holiday entitlement instead of raising a ticket and waiting
  • An HR director pulls a training and compliance gap list ahead of an audit, in the time it takes to type a question

Recent updates have made the day-to-day handling sharper

Regular updates keep Ciphr AI HR software sharp

Recent updates have made the day-to-day handling sharper:

  • Flexible hours, recorded properly. Absence booking now logs the actual hours worked on flexible patterns, instead of defaulting to a full day
  • One record, whatever the pattern. A request that covers different hours across the week, or a shift that runs past midnight, now books as a single record
  • Confirm your way. Ordinary replies like "yes" or "go ahead" confirm a booking. No repeating yourself until the wording matches
  • Straight to the answer. A "how to" question returns a direct link into the knowledge base, tailored to what was asked, rather than a generic search page
  • See the reasoning. Each answer comes with an expandable section that lays out how the assistant reached it. Open it if you're curious, skip it if you're not

"We came to Ciphr’s AI assistant as an early adopter, and the value was clear almost immediately.

"Data that used to require running a formal report is now accessible in seconds — I can just ask the question and get the answer. For our employees, being able to check holiday balances or find information through simple conversation is exactly what a mobile-first workforce needs – I can’t wait for them to get access via their mobiles.

"This isn’t an incremental improvement; it genuinely changes how our people interact with HR."

Why built-in AI beats a bolt-on tool

Why built-in AI beats a bolt-on tool

  • Your data is already there. No spreadsheets to upload, nothing to copy and paste. The assistant reads directly from your live HR data
  • Permissions travel with it. Employees see only what they're already authorised to see. Nothing new to configure, no risk of oversharing
  • It's current, not a snapshot. Every answer draws on real-time data, not an export that was accurate last Tuesday
  • Nothing leaves your system. Your people data stays inside Ciphr's environment

What's live now. What's on the roadmap

What's live now. What's on the roadmap

We'd rather tell you plainly what's shipped and what isn't than describe next year's plan as though it's already working today.

Live now, inside Ciphr HR:

  • The AI assistant, answering natural-language questions from your live HR data – absence, headcount, and tenure
  • Book leave through the assistant, including flexible and shift-pattern hours
  • Knowledge base links generated directly from your question, for "how to" queries
  • Visible reasoning behind each answer, and full mobile access through the same Ask button

On the roadmap for 2026, not yet shipped

On the roadmap for 2026, not yet shipped:

  • Integration with MyTeamBuilder: use the AI assistant to get insights into your colleagues and direct reports ahead of meetings, to help improve communication and collaboration (expected Q3 2026)
  • Ability to query organisational policies through the AI assistant (expected Q3 2026)
  • First agentic AI feature: a data validation/quality agent that will improve the accuracy and integrity of HR data, reducing the time you spend on checking and rectifying data (expected Q4 2026)
  • Expansion of the assistant to take actions across all key areas of HR, using natural language rather than menus
  • Extension of the assistant into the learning management system, employee benefits platform and payroll software
  • New AI agents to support onboarding, case load management, ongoing performance conversations, and flagging payroll anomalies before a run

For payroll managers specifically: the direction of travel here is accuracy and control first. An assistant that flags a payroll anomaly before you run payroll, rather than after your employees are paid, is the goal – not automation for its own sake.

Built in the UK, for UK HR and payroll

Built in the UK, for UK HR and payroll teams

An AI-based HR software is only as trustworthy as the compliance underneath it. Ciphr is a UK company, built around UK employment law, UK payroll cycles and UK statutory reporting from the outset. Not a global platform adapted for this market afterwards. Your data is handled under UK GDPR and the Data Protection Act, by UK-based teams.

Ciphr holds ISO 27001 certification and is a Crown Commercial Service partner, with role-based permissions built into the AI assistant as standard rather than added as an afterthought.

Implementation that sets your AI assistant up properly

Implementation that sets your AI assistant up properly

You aren’t handed a login and a help centre link. Ciphr's implementation is a structured process – your data migrated properly, roles and permissions configured to match how your organisation works, and a named team who takes you through go-live and stays afterwards.

That matters more for AI than for most software, because the assistant is only as useful as the data and permissions sitting behind it. Getting that right at implementation, rather than fixing it later, is what separates an AI assistant people trust from one they stop using after a fortnight.

Go live in as little as 7 weeks

Go live in as little as 7 weeks

Central HR and the AI HR software go live together, with payroll, recruitment or learning added in phases once the core system is bedded in – so you protect business as usual while your teams build confidence in the new way of working.

One connected suite. Built to make work, work. For HR directors who need a system that holds up under scrutiny, and CFOs who need numbers they don't have to double-check, AI HR software only earns that trust when it's built on data that's whole.
