What is two-factor authentication, and why should you enable it on your HR software? Find out here

The 2020 explosion in remote working means organisations are facing increased security risks, as employees access confidential company information via their home networks. According to a recent poll, 70% of British businesses are now using multi-factor authentication (MFA) to manage these security risks and to protect their data. MFA helps organisations protect sensitive information, but how does it actually work? And what difference can it make when enabled on HR software?

How does two-factor authentication work?

Two-factor authentication involves having a second type of information to verify who you are and works to deliver an extra layer of protection for user accounts. This extra protection significantly decreases the risk of unauthorised access and system breaches.

When a user signs into an account that has MFA enabled, they enter their username and password and are then prompted by an authentication tool to enter a unique security code. This code – which can be emailed or messaged to your mobile number – has a very limited lifespan. After entering the one-time code, the user is authenticated and granted access to the application or website.

The benefits of two-factor authentication

  • Protects both the user’s credentials and the resources they can access, and provides a higher level of access than authentication methods that rely only on a password
  • Additional layer of security makes it harder for attackers to gain access to a person’s devices or online accounts
  • Harder for hackers to access to sensitive information, which is typically stored in HR systems, including personal bank details
  • Protects HR from data breaches – ensures that you can maintain a reputation for protecting information
  • Codes can be accessed anywhere as long as the user can access their email account or mobile phone
