A system nobody uses properly is really just paper with extra steps. That was Southern Hospice Group's experience before Ciphr, across the three hospices it runs in the south of England. Watch Emma Stovold, HR systems lead, explain what changed when the whole team finally had one place to work from.
What HR looked like before Ciphr HR software
What HR looked like before Ciphr HR software
"Life before we worked with Ciphr, from an HR perspective, was a lot of manual processes. We did have a system, but it wasn't really fit for purpose, and it wasn't used in the way that it was designed to be used. And it wasn't self-service to the business either, it was just in the HR office. So it was quite difficult and very time consuming, because it was all paper... We used to have a piece of yellow cardboard, that's gone now."
Why they chose Ciphr
"We looked at a number of different systems, some of which were a bit more complicated than we needed them to be. Ciphr HR software seemed to be quite simple [and] user-friendly. Not just from an HR [perspective], but also from an employee point of view."
One place, self-service for everyone
"The biggest difference that Ciphr has made is having all the information in one place. So we haven't got files on SharePoint, everything is in one place, a one-stop shop for everybody. And from an employee point of view, being able to book annual leave, and for managers to be able to manage annual leave and sickness, is so much easier because it's all there in front of you."
What that means day to day
"The biggest impact that the HR product has had on our day-to-day is, as I said before, having everything in one place. So everything's at our fingertips. Being able to automate certain processes, such as sending letters out to employees or for onboarding, has really helped that way. But just having a one-stop shop that everybody can access has made a huge difference to us."
What it's like to work with the Ciphr team
"Our consultant was absolutely brilliant. We were very lucky that [she] lived close to us, so she would come in every day to do our consultations in person, rather than over Teams. I think that did actually make a huge difference, having somebody in the building with us."
Would they recommend Ciphr?
"If somebody asked me whether to choose Ciphr, I would say, from an HR point of view, absolutely... The HR system itself, absolutely."
