What is HRMS?

HRMS is your central management tool for all your people data. It’s intuitive and easy to use for employees and HR teams alike. It's really useful when you use it right, like this:

Use it to record, store, and track people data – such as attendance, leave, and performance

Use it to support the entire employee lifecycle, from recruitment to payroll, to create a single source of truth and a consistent employee experience

Consider it your sole HR case management tool to handle employee relations

Encourage employees and managers to use your HRMS for all crucial processes – like recording sickness absences, appraisals, and performance reviews

Integrate your HRMS with other core systems including recruitment, payroll, and LMS

Make sure your HR superusers regularly refresh their system knowledge, and keep up to date with new product releases

Is your HRMS fit for purpose?

As your business grows, the systems you use to manage people and processes will also need to grow. Our HRMS is scalable, and will expand to fit your needs as your business plans (and headcount) grow. How will you know it’s time for a new HRMS, though?

Five quick questions

  • Is your HRMS helping you get more done, more effectively?
  • Are you using it for all important people-related tasks, from recruitment to payroll?
  • Is it helping your teams be more productive, and make better decisions?
  • Is it user-friendly and easy to navigate?
  • Is it right for your organisation’s current size and growth plans?

If you answered no to any (or many) of these, it’s time for a new HRMS.

Whether you’ve got an HRMS or not, these five signs are red flags that your HR software needs a revamp.

Signs you need a new HRMS system

1. Low user engagement

If your employees aren’t using your HRMS, it could be for a variety of reasons, like:

  • The system isn’t user-friendly enough: it might not look and feel part of your brand personality, or it could be too simple or complex to use
  • Important processes like performance reviews can’t be done through your HRMS
  • Leaders and senior managers avoid using it, so employees don’t think they need to either
  • There’s no real knowledge of what your HRMS can do

Things to think about

  • If your employees aren’t using your HRMS, it could be for a variety of reasons. Try to find out their reasons

2. Inaccurate data

Using multiple systems produces inaccurate data. GDPR compliant HR software like our HRMS combines cleverly configured integrations, configuration, and a suite of useful reporting.

If your data isn’t reliable and accurate, there’s simply no point in producing it or analysing it. It’s potentially the most obvious red flag and indicator you need new HR software.

things to think about

  • Your people data needs to be secure, concise, and easy to understand

3. It's causing problems, not solving them

Find yourself doing extra admin, wasting time on data entry (and still grappling data errors), and handling endless queries from managers and employees?

Maybe you’re switching between systems to get the job done, or becoming frustrated trying to access important data, policies or info? Your HRMS should be making your job easier. It should not be the reason you’re experiencing any of these (or other) issues.

things to think about

  • Our HRMS will simplify processes, from employee onboarding to offboarding and everything in between. Integrating your HR and payroll (or any other key software) takes the hassle out of HR

4. Limited options limit your growth

Can your HRMS be customised and configured in a way that truly works for your organisation? Can you look after it in-house without specialist knowledge?

Whether you want basic customisation like colours, language and logos, or complex configurations and integrations – your HRMS should do what you need it to.

things to think about

  • Our HRMS has in-built flexibility that allows your software to ebb and flow with your growing brand

5. There’s a disconnect

Just as too many cooks spoil the broth, too many disconnected systems can ruin your HR success. The more systems your organisation uses, the greater your risk of data incidents and inaccuracy.

You’ll probably be entering more data manually, too. Your HRMS should be integrated with key systems and other software like payroll, ID and background checking, applicant tracking systems, LMS – the list is endless.

things to think about

  • Some businesses might also need less common integrations, such as with:
  • Time and attendance systems
  • An engagement survey platform
  • An expenses system
  • A digital right-to-work and/or background checks provider
  • Specialist systems, such as a school information management system
  • Microsoft Power BI
